From first brief to a fully payrolled employee, the process runs on our Kenyan entity and employer registrations. Here is exactly what happens and who does what.
You tell us the role, the gross salary, the benefits you want to offer and the start date, and whether your candidate is a Kenyan citizen or a foreign national. We come back with the full cost picture: employer statutory cost above gross, the employee's expected net after PAYE, NSSF, SHIF and the housing levy, and our fee. If you do not have a candidate yet, you hire and we employ; we do not interfere with your selection.
We issue an offer and an employment agreement drafted to the Employment Act 2007, setting out role, pay, probation, notice, leave, confidentiality and intellectual property assignment. Written particulars are required for any engagement over three months, and the contract is the document that protects both sides if a dispute ever arises. Your candidate signs electronically.
We verify the KRA PIN, register the employee with NSSF and SHA, collect bank or mobile money details, enrol them in medical cover and any pension arrangement, add them to payroll under our employer accounts and ensure work injury cover is in place. For the small number of hires who are foreign nationals, this is where the Class D permit track runs instead, and it takes considerably longer.
Salary runs each month in shillings. PAYE, NSSF, SHIF, the housing levy and NITA are calculated, deducted and remitted by the ninth of the following month, and you receive a payroll report with remittance evidence. We track leave, process changes, and when someone leaves we run the required procedure and calculate final dues correctly.
